What to Include in a CNC Machining RFQ: A Buyer’s Checklist

An RFQ is easier to evaluate when it explains what the part does, how it should be made, and which requirements matter most. Use this checklist to share key details for a custom CNC machining project.

1. Send the Current Drawing and Model

Include the latest revision of the 2D drawing and a 3D CAD file when available. A 2D drawing communicates dimensions and notes; a neutral 3D format such as STEP can help clarify the geometry. Show the units, revision level, and manufacturing notes. If the drawing and model differ, identify which file controls.

2. Identify the Material

State the required material and grade when known. If you are comparing options, describe the part’s function and operating conditions so the project requirements can be reviewed. Material availability and suitability depend on the grade, geometry, manufacturing process, and project requirements. Confirm the final material before order confirmation.

3. Mark the Dimensions That Matter Most

Highlight features that control fit, movement, alignment, sealing, or safety. Include datum references and geometric tolerances where they matter to the part’s function. Feasibility depends on dimensions, material, geometry, process, and measurement method. Ask for critical requirements to be reviewed against the actual drawing.

4. Specify Finish and Surface Requirements

Describe the required appearance or treatment, including a specification if your project has one. Note surfaces that must remain untreated, masked, or protected, and distinguish cosmetic surfaces from functional ones. If the finish is flexible, say so. This helps the project team assess suitable options.

5. Give the Quantity and Production Stage

State the current quantity and whether the project is at prototype evaluation, production launch, or repeat production stage. If demand may change, share an estimated range or likely order pattern. Keep forecasts distinct from confirmed order quantities so the quotation can reflect the current project scope.

6. List Inspection and Documentation Needs

Identify which dimensions or characteristics need verification and which documents your team expects. Depending on your requirements, this may include a dimensional inspection report, material documentation, or first-article review. If your organization has a supplier-qualification checklist or required report format, share it early so the project requirements can be reviewed.

7. Add Application and Delivery Context

Briefly explain where the component will be used, what it mates with, and any relevant operating conditions. Include the destination and target timing so the project can be assessed in context. Final delivery timing is confirmed during quotation.

Frequently Asked Questions

Can I request a prototype before production?

Yes. Prototype development can be reviewed as part of a custom manufacturing project. Share the drawing and expected quantity so the project can be assessed.

What if I do not know the exact tolerance or material grade?

Mark the functional requirements you know and identify open items. Feasibility can be reviewed against the drawing; final specifications should be agreed before order confirmation.

Do I need both a 2D drawing and a 3D model?

A 2D drawing is important for dimensions and notes. A 3D model adds geometry context when available. If the files do not match, state which revision or file is authoritative.

How do I start an inquiry?

Start by sharing a project summary through our Request a Quote page or by emailing tim@rbtradebridge.com. Please contact us before sending confidential or proprietary drawings so we can agree on a suitable sharing method. RB TradeBridge coordinates custom manufacturing projects with partners in Dongguan, China and reviews each inquiry against its requirements.
